Technology Project Coordinator

- Contract Role

- Hybrid, 3 days a week on site in Bridgewater, NJ

RedStream Technology is looking for a highly organized Contract Project Coordinator to join our client's IT team working on a variety of projects. The ideal candidate will have experience helping manage technology projects and working with Jira and Microsoft Office. This position requires excellent organizational skills, attention to detail, problem-solving abilities and the ability to work independently as well as collaboratively within a team environment.

Process and Procedure Development, Updates, and Documentation

PMO Process Documentation:

  • Assist in building and updating process documentation to standardize EPMO practices.
  • Support the creation of a EPMO Playbook, incorporating all EPMO teams' activities, roles, and responsibilities.
  • Ensure all process changes are communicated and accessible to the appropriate teams.

Deliverables/Work Products:

  • Updated and refined PMO process documentation, as requested by EPMO Senior Managers and/or EPMO Director.
  • EPMO Playbook content
  • Continuous updates to process documentation as required.

EPMO Asset/Dcoument Development

  • Create EPMO assets as directed by EPMO Senior Managers and/or EPMO Director.
  • Review current EPMO documents and identify which need to be updated for consistency.
  • Draft, edit, and finalize documents based on feedback from stakeholders.
  • Ensure all assets are aligned with EPMO standards and support the overall governance goals.

Deliverables/Work Products:

  • Updated project documentation (e.g., project charters, status reports, etc.), as determined by the EPMO team.
  • Finalized project artifacts and other relevant documents as required by the EPMO Senior Manager or Director.

 

EPMO Administration Support

Provide project coordination support to assist the PMO Senior Managers in managing multiple projects. This involves handling administrative tasks, resource planning, and issue resolution within the project management systems.

 

Administrative & Resource Planning:

Jira Resource Planning:

  • Manage and update resource allocation within Jira, ensuring project resources are accurately tracked and utilized.
  • Coordinate with teams to align Jira tasks with project schedules and milestones.
  • Assist with Jira issue tracking and resolution, ensuring project timelines are met.

Smartsheet User Access & Support:

  • Manage user access permissions for Smartsheet, ensuring the right stakeholders have access to the appropriate project information.
  • Provide support to users regarding any access issues and escalate as needed.

Workfront User Access & Issue Resolution:

  • Oversee Workfront user access, ensuring users have the correct permissions for project tracking and documentation.
  • Troubleshoot and resolve any issues related to Workfront usage, including task assignments, project updates, and reporting.

On demand Project/Program Tracking Support:

Tier 1 Programs Meeting Coordination Support:

  • Schedule and coordinate project meetings, ensuring the appropriate stakeholders are invited and meeting agendas are prepared.
  • Draft and circulate meeting agendas before sessions.
  • Capture and distribute meeting minutes from transcripts and recordings, highlighting key action items and decisions.

General Project Support:

  • Assist with ad-hoc tasks as assigned by the EPMO Senior Managers, including project tracking, scheduling, and issue resolution.
  • Ensure project documentation is stored properly and easily accessible to all team members.

Project Dashboard & Status Reporting:

  • Support the creation and maintenance of a EPMO Smartsheet Portfolio and  Dashboard, aligning with project status updates and reporting requirements.
  • Track project milestones, risks, and issues, ensuring accurate reporting to PMO leadership.

Deliverables/Work Products:

  • Weekly facilitation of updates to the EPMO Portfolio, reflecting the status of ongoing projects.
  • Meeting agendas, minutes, and follow-up items.
  • Ad-hoc project deliverables, as required by assigned projects.

Continuous support for EPMO Project Managers and Senior Managers to ensure projects are on track
